Overview:

This technote will describe how to add additional processors to increase Automated File Processing for ProjectWise.  Please take note of the minimum requirements above, this will not work properly and is not supported unless the minimum requirements are met.

Please make a backup of your Orchestration Framework database before following this technote.  This will allow you to scale back to the original configuration in case this does not work out for you.  If it does not work for you, just restore the original database over the newly configured database.  

In order to get the processing to work as fast as possible, please follow this blog on how to properly configure the Full Text Indexing values in your ProjectWise Administrator:

ProjectWise 3.2 Refresh and later:

Due to some code changes the below scripts will no longer work if your build number is 10.00.02.262 so we have ported the changes into PWPS_DAB to make things a little easier for the users.  I always recommend starting with a fresh Orchestration Framework Database but if you are upgrading your Orchestration Framework database then please run Update-PWAFPQueueNames to update your queue names to the appropriate naming convention.  If you are starting with a fresh Orchestration Framework database please use the Copy-PWAFPProcessors cmdlet and follow the steps below.  This will also only add in another row of processors as we have observed one additional path is fast enough for the majority of our users.

Setup post 3.2:

  1. Stop Orchestration Framework on your head and tail server.
  2. Run the Copy-PWAFPProcessors using the name of your indexing server in the -MachineName parameter.
  3. Start your Orchestration Framework Administrator
  4. Start Orchestration Framework on your head and tail
  5. Manually map the new processors by dragging the nodes from the left pane into the editor window in the Orchestration Framework Administrator to represent the picture below. This is an example of FTR.
  6. After manually mapping the processing should resume.

Setup prior to 3.2:

  1. Stop Orchestration Framework on your head and tail server
  2. Run this query on your Orchestration Framework database to check how many processors you have and to make sure the server name is right: select * from orchShepherdProcesses
  3. Edit the @MachineName value in one of the attached sql scripts to represent your Tail server
  4. Run whichever sql script you would like to use after editing the @MachineName value
  5. Start your Orchestration Framework Administrator
  6. Start Orchestration Framework on your head and tail
  7. Manually map the new processors by dragging the nodes from the left pane into the editor window in the Orchestration Framework Administrator to represent the picture below. This is an example of FTR.
  8. After manually mapping the processing should resume.

Notes:

After testing it appears that adding one extra set of processors to bring it up to two sets of processors is the best approach, three total sets have been attempted on some servers and some work but some it tended to max the server's resources out and make it unresponsive.  It is your choice if you would like to go above 2, but be warned you will not see much benefit.  Also when upgrading you will want to start with a fresh Orchestration Framework database since this does not convert over when doing the upgrade, after your upgrade please feel free to run the scripts/cmdlets again.  Please let TSG know if you have any questions on this technote.

Document Purpose

This document illustrates best practices for ProjectWise Administrators and/or IT personnel to get ProjectWise users connected in a remote situation.

When working remotely, the best practice is to send a company issued laptop with the user to access either an on-premise or Bentley hosted ProjectWise implementation.

How to Connect to ProjectWise

To connect to ProjectWise, each user needs a laptop with some basic requirements.

Laptop Requirements

  • VPN Software (where required)
  • Installed CADD Suite
  • Installed Office
  • ProjectWise Explorer
    • ProjectWise Network Configuration
    • Note: DNS Services Tab – possible routing/gateway information....
    • Note: May need to be disabled/removed if working out of the office

ProjectWise User Requirements

  • Ensure working directory points to local drive with plenty of free space

Connection Troubleshooting

Your ProjectWise users may have some connectivity issues. In other words, the user may not see the datasource(s). If they do not see the datasources, edit the ProjectWise Network Configuration settings, particularly the DatasourceListingand DNS Services tabs. For detailed information, see the Configuring Network Settings from ProjectWise Explorer section in the ProjectWise Explorer help.

If the datasource(s) are NOT listed in ProjectWise Explorer, ensure that the correct servers are listed in the Datasource Listing tab.

File Transfer Issues

If files are not transferring, then the routing may be incorrectly configured for the user’s workstation. Ensure that the correct servers are listed in the DNS Services tab. For a quick fix, remove all servers and the files will route directly through the datasource listing tab server stated.

How to Improve Performance

The user may experience slowness or a perceived lag in performance. The perceptions may be caused due to a variety of non-ProjectWise hurdles such as Wi-Fi bandwidth, VPN bandwidth, etc. The following tweaks can be done for the ProjectWise User Settings and may improve performance during the users’ work from home experience.

Working Directory category

If the user’s working directory is located on a mapped drive/server share, be aware that files will download to the client workstation, and then uploaded back to the mapped drive.

Using the C: drive for the Working directory will reduce network traffic.

Note: Files may already be checked-out to the different working directory. PW Administrators should work to capture the checked-out file(s) and replace them on the ProjectWise storage to help cut down on data loss.

Document category

Leaving local copy on check in and using up to date copies on check out and copy out will reduce network traffic.

Note: PW Administrators should be certain to document user settings before adjusting so they can revert the settings if necessary.

Install and Configure Web Services Gateway

Bentley Web Services Gateway and the ProjectWise plug-in are delivered with ProjectWise Design Integration Server (ProjectWise Server Setups). You can install them all on the same computer at the same time you are installing ProjectWise Design Integration Server, or you can install Bentley Web Services Gateway and the ProjectWise plug-in together on a separate computer.

  1. You need to have a secure website in IIS (Internet Information Services) where you will deploy the latest versions of Bentley Web Services Gateway and the ProjectWise plug-in.
  2. Install the latest version of ProjectWise Explorer if you don’t already have it, and configure the ProjectWise network to provide Bentley Web Services Gateway with access to the datasource(s) on your ProjectWise Design Integration server or servers.
  3. Install Bentley Web Services Gateway and the ProjectWise plug-in from the ProjectWise Server installer.
  4. Make sure your deployment of Bentley Web Services Gateway with the ProjectWise plug-in deployment is configured to allow CORS (cross-origin resource sharing) requests coming from ProjectWise Web and integrated Office for the web. To configure this, you need to enter the URL of each of these services (separate each URL with a comma) in the Bentley Web Services Gateway deployment wizard:

  1. If you want to allow external users access to your datasource, or let users view Office documents online, you must configure your Bentley Web Services Gateway deployment to be public facing. There are two places you need to open port 443 (default).
  • First - and this is required for both internal and external users - in the Windows Firewall on the Bentley Web Services Gateway computer
  • Second - and this is required only for external users - in your corporate firewall

Adding Datasource Connections

Only cloud service administrators can add a connection to each datasource you want to make available to users in ProjectWise Web.

Open ProjectWise Web and click the Manage Connections button. In the Create New Connection window, configure the following:

  1. Connection Name- Enter a name for the connection.
  2. Server URL- Enter the URL address of where Bentley Web Services Gateway is deployed (for example, https://<server_name>/ws), where <server_name> is the name of the computer on which Bentley Web Services Gateway is installed (for example, bentley.com), and ws is the name that was given to the virtual directory that Bentley Web Services Gateway and the ProjectWise plug-in were deployed to.
  3. Get Datasource- Click Get Datasource after you enter the Bentley Web Services Gateway address. This populates the Datasource list mentioned in the next step.
  4. Datasource- Select the datasource that you want to make a connection to.
  5. Description- (Optional) Enter a description of this connection. The name of the datasource is used as the description if no description is entered.
  6. When finished, click Connect.
  7. Authorized users will now see this datasource

 

Adding Users

User permissions are set in ProjectWise Explorer. If a user has access to a datasource, then they will see the datasource when they log into ProjectWise Web.

  • Internal users simply open PW Web and can see datasource.
  • External users need to be given the datasource URL and create the datasource connection. This requires a Bentley IMS account.

ProjectWise Web lets you access files and create and modify connections to repositories where files are stored. Before you can access ProjectWise Web, you must first sign in and open your project. Once you are signed in, you need to connect to a repository to download or review the files in the repository.

5 - Filtering Lists by Attribute(s) to Find Items

The list of items is organized by the columns, Name, Version, Description, File Name, File Size, and Date Modified. When you select a column header, the list is sorted by that attribute. For example, if you select the Name column header, the items list displays the item names in alphabetical order. You can select any column header to sort the list in ascending or descending order within the column.


 

You can filter the list or remove filters by selecting the filter icon in the column header. To filter the list, select the filter icon  in the column header. If you have already applied a filter, the filter icon displays in green. If you wish to remove the filter, select Clear from the dialog that displays. If you wish to add a filter, enter filter information in the dialog.


The dialog allows you to show the items in the list with a value that has some relationship to your data.  You can filter based on “equals,” “does not equal,” “contains,” “does not contain,” “starts with,” “ends with,” “does not have value,” and “has value.”

For example, if you select "contains" and type the word “Sheets” into the field, the list will show only the items with names that contain the word “Sheets.”

6 - Reviewing Item Properties

To view the properties of a file or folder, select the checkbox next to the item and click the properties  icon. The properties pane displays. For folders, the pane displays the Date Created and the Last Modified date. For files, the pane can display more properties including detailed information like Project Number, Project Location, Percent Complete, and Approved By. If you select multiple items, the properties pane displays the number of items selected.  To close the properties pane, click the X in the top right of the pane.

 

3 - Accessing the Work Area

From the left pane of ProjectWise Web Connections, you can access the Work Area connections you have created.  To edit or remove a connection, or create a new connection, click the Manage Connections button at the bottom of the left pane.

When you select a connection from the left pane, after you log in, the repository displays the files and folders which it contains.

Click the Manage Connections button on the ProjectWise Web Connections page to open the Manage Connections page.

Here you can create a new connection to a repository or modify or delete an existing connection. If there are any existing connections, they display on this page organized by Connection Name, Repository Type, and Description.  The Actions column allows you to delete or edit a connection.

Updates to ProjectWise Web require an update to the ProjectWise Web Services Gateway Plugin to utilize new features. Below is a list of the latest releases and the included features. 

PW WSG Plugin version 3.1:

  • Optionally include audit trail message when creating new version. The version is controlled by WRE (Work Rules Engine) commands which can optionally request an audit trail comment.
  • Next and Previous functions are controlled by WRE commands – the only functionality change is that they can optionally request an audit trail comment
  • Basic search includes Projects in the result
  • Advanced search can be done on Project data
  • Saved searches will include Projects in the results

Adding Users

User permissions are set in ProjectWise Explorer. If a user has access to a datasource, then they will see the datasource when they log into ProjectWise Web.

  • Internal users simply open PW Web and can see datasource.
  • External users need to be given the datasource URL and create the datasource connection. This requires a Bentley IMS account.

5 - Filtering Lists by Attribute(s) to Find Items

The list of items is organized by the columns, Name, Version, Description, File Name, File Size, and Date Modified. When you select a column header, the list is sorted by that attribute. For example, if you select the Name column header, the items list displays the item names in alphabetical order. You can select any column header to sort the list in ascending or descending order within the column.


 

You can filter the list or remove filters by selecting the filter icon in the column header. To filter the list, select the filter icon  in the column header. If you have already applied a filter, the filter icon displays in green. If you wish to remove the filter, select Clear from the dialog that displays. If you wish to add a filter, enter filter information in the dialog.


The dialog allows you to show the items in the list with a value that has some relationship to your data.  You can filter based on “equals,” “does not equal,” “contains,” “does not contain,” “starts with,” “ends with,” “does not have value,” and “has value.”

For example, if you select "contains" and type the word “Sheets” into the field, the list will show only the items with names that contain the word “Sheets.”

4 - Downloading a File

To download a file, select the checkbox next to the file and click the download  button. If the download button is greyed out, the file cannot be downloaded.
